Tracmar is made and run by Adelaide IT Solutions, trading as Tracmar, in Adelaide, South Australia ("we", "us"). We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). Questions, requests or complaints: hello@tracmar.au or 08 8358 0944.
Effective 14 October 2026. Previous versions: 7 October 2026; 2 October 2026; 17 September 2026 (website enquiries only).
Enquiries. When you send the form on this site we collect your name, company, email address and whatever else you choose to include — phone, industry, team size, your current system and your message. It is stored on our server in Adelaide and emailed to us, and used only to reply to you and to discuss whether Tracmar suits your business. It is not added to a marketing list and not shared with anyone else.
Downloads. You can download the Tracmar overview without giving us any details. We count downloads: the date and time, the file, and the address the request came from — nothing that identifies you unless you also send an enquiry.
Cookies and tracking. This site sets no advertising or tracking cookies and loads no third-party analytics, fonts or scripts. Our web server keeps ordinary access logs (address, page, time) for security, for a short period.
A. About you, as a customer or enquirer — names, business names, email addresses, phone numbers, what you tell us in an enquiry, billing details, and records of our support conversations.
B. What you store in Tracmar about your own clients — client names, contacts, addresses, jobs, notes, time records, documents, and runbook entries including passwords. You decide what goes into Tracmar and you are responsible for it. We hold and handle it on your behalf, only to provide Tracmar to you.
C. About your own staff who use Tracmar — for each user: sign-in records (date and time, IP address, browser details, how they signed in and whether it succeeded); an audit log of important changes they make or attempt, with the date, time and IP address; work records (time logged, call logs, jobs, tasks and messages sent within Tracmar); and, if you switch it on, a monthly team performance report built from those records, which goes first to your administrators and to the team only when an administrator sends it. This information is also yours: you decide who uses Tracmar and which optional reports are on.
D. About your clients' people who use your client portal — only if you switch the portal on for that client. For each person you give access: their name, email address, phone number and role (from your client record); a password, if they set one, stored only in a form that cannot be turned back into the password; an authenticator app secret, if they set one up, encrypted; the computers they ask the portal to remember; and a record of what they do on the portal — signing in, sending requests, opening or editing documents shared with them, and changes to their company's details and contacts — with the date, time and IP address. Requests they send, and any files they attach, become jobs in your Tracmar like any other. This information is also yours: you decide which clients have the portal, who can sign in, and which documents they see.
We do not sell personal information. We do not use the information in your Tracmar instance to market to you or to your clients.
Each customer has their own Tracmar instance with its own database, on servers in Adelaide, South Australia, owned and operated by Adelaide IT Solutions and R&N Data. Backups are taken nightly and kept in more than one location in Australia.
Most of Tracmar never sends your information anywhere else. The exceptions are below. Integrations are yours: almost every row is off until you switch it on in Settings and connect it with your own account with that provider. When you do, the information goes to your provider under your own agreement with them.

| Sign-in location check | Nowhere — answered on our own server | The country of a sign-in's address, looked up in a database held on the server | Every sign-in |

| NinjaOne | NinjaOne's own data centres | Tracmar reads device and security information from your account; it sends NinjaOne nothing about your clients | Only if you connect NinjaOne |

| Domain and SSL expiry (Dreamscape) | Dreamscape's own data centres | Tracmar reads your domain list and expiry dates; no client information is sent | Only if you connect a reseller account |
| AI-assisted client reports (Anthropic) | United States | One client's report figures and security report, to write the report's plain-English summary | Only if you switch on AI writing with your own Anthropic account, and then only when you create a report with the AI summary |
| SMS (SMS Broadcast) | Australia | The recipient's mobile number and the message | Only if you switch SMS on with your own account |
| Email into jobs — your own mailbox | Your mail provider | Tracmar reads the mailbox you give it and writes the message text onto the job it belongs to | Only if you switch it on with your own mailbox |
| Phone and browser notifications | The push service of the user's device (Google, Mozilla, Microsoft or Apple), overseas | The notification's short text | Only for users who turn notifications on |
| Our mail server in Australia, or your own mail provider if you connect one | Notifications and documents you choose to send, including client portal invitations, sign-in links and codes, and the request updates you switch on | When Tracmar sends email for you |
Email hello@tracmar.au. We respond within 30 days. If the request concerns information a Tracmar customer stores about you — you are one of their clients, one of their clients' portal users, or one of their staff — we refer it to that customer, because they decide what is held.
If we become aware of unauthorised access to personal information we hold, we will act promptly to contain it, assess it, and notify the people and customers affected and the Office of the Australian Information Commissioner where the Notifiable Data Breaches scheme requires.
Email us first. If you are not satisfied with our response you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
Changes are published here with their effective date, and customers are told by email about any significant change.
